Use and sharing
RFQ information should be used to assess and respond to the request, coordinate internal review and maintain a restricted quote record. Do not include customer drawings in ordinary email notifications; send staff a private access link with a short expiry.
Security and retention
Before launch, configure encrypted transit and storage, role-based access, malware scanning, audit logs, retention periods, deletion procedures and a process for data requests. Document subprocessors and hosting locations.
Cross-border and regulated information
Before accepting drawings, confirm applicable export-control, customer-security and data-residency requirements. Provide a separate approved transfer route where this public form is not appropriate.
